Responsibility for accuracy
You are responsible for the accuracy of the information in your profile. Please check to make sure there are no typos in your name, phone number, email address, strata lot number etc. We may not be able to provide services if your contact information is out-of-date.
Individual information
All persons including associate members, individual members, and owners who have created a free profile under their strata corporation’s membership can edit their individual information such as name, phone number, and strata lot. You can edit this information at any time. Please keep your information up-to-date.
Account administrators CANNOT see other profiles. For example, council members and other owners in a strata cannot see or edit the profiles of other people who are owners in their strata. For more information see VISOA’s privacy policy.
Account administrators for strata information
For a demonstration, watch our video How to update council members in your VISOA corporate account.
If your strata is a corporate member, it needs to have “account administrators”. In addition to being able to edit their own individual information, account administrators can edit certain information about the strata corporation. Account administrators receive a few emails each year regarding the strata’s membership such as notification when the membership is expiring soon.
Account administrators are usually council members but your council may also authorize other persons, such as a bookkeeper or property manager, to be an account administrator. All council members or persons authorized by council to be account administrators must create a profile under the strata corporation’s membership using a unique email address. There can also be one “general email” profile authorized as an account administrator so that renewal reminders are sent to a council email address. An email address can only be used for one profile. If you usually share an email address with another person or other council members see troubleshooting tips for shared email addresses. Use strong passwords when setting up any profile. Learn how to create a strong password.
Once the people who will be administrators have created their profiles, contact us to tell us the names of the people your council has authorized as account administrators. Let us know if there is a “general email” profile for council. VISOA staff will give the approved profiles account administrator privileges. We recommend that you have AT LEAST 3 account administrators and that you inform VISOA immediately when you want to change account administrators.
Account administrators are responsible for keeping the following information up-to-date:
- The security question and answer
- The names and positions of council members (Entering this information does not create profiles. VISOA uses this information to confirm who we can communicate with about the strata’s membership.)
- The location of the strata building(s)
- Type of strata (e.g., condo, townhouse, bare land, residential, commercial, mixed use, etc.)
- The fiscal year end entered as mm-dd (e.g, December 31 is 12-31)
- Whether the strata is managed or self-managed
Strata Managers
A bookkeeper or property manager can create a profile under a strata corporation’s membership with council’s permission. However an email address can only be associated with one strata corporation. If they wish to have profiles for more than one strata they will have to create each profile using a different email address. If their role is limited to making a payment, they do not need a profile. A council member can send them the payment instructions.
